Only a few emails are syncing in shared mailboxes or public folders when using the Outlook desktop email clients. You can try to fix them by following the technique given in this post.

Upon checking your Outlook account, you may notice that only a subset of items is synchronized. The following descriptions may be found at the bottom of the email message list: “this message has not been downloaded from the server”, “this message has not been downloaded from the server. To download this message, click here”, or “this message has not been synchronized with your mobile device”.

To fix this issue, you’ll need to change the behavior of the Outlook offline mail feature. Here’s how!

  • Go to Account Settings.
  • Select your Exchange server account.
  • Choose the Change
  • Set the desired limit for Mail to keep offline setting
  • Hit the Next
  • Select Finish > Close.
  • Exit Outlook and restart the app.

Open your Outlook application, click on the File menu, and select Account Settings from the list of options displayed.

Under Account Settings, choose your Exchange server account.

In the new window that opens, select the Change option.

Now, in the separate Server Settings window that opens, move the slider for the Download email to keep offline for the past setting to the time that you want.

Hit the Next button displayed at the bottom.

After you select “OK” in the message window that appears and says the operation won’t finish until you restart Outlook, the process will finish when you restart Outlook.

Click Finish Close.

In the end, exit and restart the Outlook app.
